Participant Registration in IEEE ICC'12 Conference


The Registration and Information centers will be located in the Ottawa Convention Center (OCC).  All participants and accompanying guests must register and receive a conference badge to participate in conference activities.
 

By completing the registration process and making payment, you are stating that you have read all the information provided through the registration process, understood that information and agree to register under the implied and explicit terms and conditions.

 Notes before registering:

  • Each participant should register on his/her own as one regsitration per one email address. This will ensure that each participant is in agreement with the terms and conditions, familiar with what to expect and can be communicated with as the need arises.
  • Photo identification will be requested of all participants.  Conference materials will only be provided during the registration hours to the registered participant matching the picture in their government issued identification. 
  • Authors: each accepted paper is limited to 5 pages (with no more than 7 pages with USD100 over length charge for each extra page). Authors with overlength papers (6 or 7 pages) should pay for these extra pages via EDAS when they upload their final accepted papers.

REGISTRATION FEES


Registration is required for all participants of IEEE ICC2012.

 

NOTE:

Authors must be registered:
- by Friday, February 10, 2012 for technical symposia parpers

- by Monday, February 27, 2012 for workshop parpers.

 

Non-refundable registration fees must be paid prior to uploading the final IEEE formatted, publication-ready version of the paper.

 

The registration confirmation code you receive enables you to upload your manuscript to EDAS submission site.  Sharing this code with anyone else is unethical and consequences apply. This EDAS Author Account must be accessed using the original submitting author log-in information.

 

To be published in the IEEE ICC2012 Conference Proceedings and IEEE Xplore®, at least one Author of each accepted paper shall participate at the applicable FULL (R01, R04, R07) or LIMITED (R02, R05, R08) member or non-member fees and must present the paper at the conference.

 

One author of an accepted paper must register at the FULL OR LIMITED rate.   All other co-authors of the paper who plan on attending ICC 2012 still need to register for the conference.

 

Authors who are IEEE Student Members must register at one of the IEEE ComSoc (FULL or LIMITED)) or IEEE Member (FULL OR LIMITED) rates.  Authors who are students and are not IEEE members must register at one of the Non-Member rates (FULL or LIMITED).

 

For authors with multiple accepted papers, one (1) FULL registration is valid for up to three (3) papers.  The maximum number of pages per paper is five (5).  You may purchase up to two extra pages per paper at an additional cost.

B)     Cancellation Policy:   Any refund or cancellation request must be provided in letter (to the IEEE address below) or by e-mail (icc12reg@ieee.org) before Friday, May 11, 2012.  No refund will be provided after this date.  A $100 administration fee is deducted from each refund or cancellation.  NOTE:  author registrations are non-refundable.

paperless+ CONFERENCE DETAIL:

A)   ICC 2012 is a “paperless+ Conference” meaning that the Local Organizing Committee (LOC) to the extent possible will offer traditionally printed material — such as the program, proceedings, presentations, exhibition guide, newsletters, notices, etc.—in electronic form through a paperless+ conference device.  This tablet (device) constitutes the paperless+ conference application and electronic computer tablet.  The ICC 2012 LOC has a patron promoting their tablet.  The paperless+ conference application is optimized for viewing the documents on the device offered and via the web.  You can use most smartphones (iPhone, Android 2.2+, Blackberry 6+), however, PDFs and Word documents may display differently. Thus, the LOC can not guarantee the same participant experience in using the offered device to those opting to use their own.  Those opting to use their own tablet should at least ensure that at least PDF and Word documents can be viewed without issues.

B)    The paperless+ conference feature will allow participants to “Connect • Communicate • Collaborate” with other participants to the extent they wish.  You may opt to have other participants contact you during the conference device-to-device.

C)   The tablet comes with the manufacturer’s warranty.  Thus, IEEE disclaims all liability and makes no representations or warranties with respect to the tablet device to be provided to you, including, but not limited to: (a) the implied warranties of merchantability and fitness for a particular purpose; and (b) any warranty with respect to the quality or performance of the tablet device.  You acknowledge and agree that the manufacturer of the tablet device shall solely be responsible for any warranty or technical support for the device.

E)    The tablet will be available to be picked up in the registration area at the conference.  Only one tablet is issued per participant.

F)   The device is deemed a necessity for ICC 2012 participants and replaces the traditional conference gift.  Thus, the base value of the tablet—what the participant pays — will be deemed for participant categories:  R01-R09 as $70 (incl. in the registration fee); R010-R15 as $235; R16 as $300. 

                                   

Tutorials & Workshops General Note:

 

You may participate in the Tutorials and Workshops without participating in the rest of the conference.  A one-half day tutorial is included with the FULL or LIMITED General participation categories and the Industry Forums & Exhibition participation package (R01, R02, R04, R05, R07, R08, and R15, refer to the “Participant Categories Benefits” table).

 

A lunch ticket is included with every two half-day tutorial or one full day workshop to be used on the Monday or Friday you specify only.  The lunch ticket cannot be redeemed for any refund.

 

The coffee break(s) at the time your selected tutorial or workshop is held is included.  Attendees may select ONE tutorial in each time slot. Please indicate which tutorial(s) you will attend so we may ensure adequate seating and tutorial materials. (Seat availability in each tutorial is on a First-Come, First-Served Basis.)

For authors with multiple accepted workshop papers, one workshop registration is valid for up to 3 papers in that workshop.
 

If for whatever reason a tutorial or workshop is cancelled, liability of IEEE ICC 2012 is limited to the refund of the tutorial or workshop fee only.  Early fee applies when payment is made on or before April 12, 2012; otherwise the late fee applies.

Student Travel Grant Information for ICC 2012

IEEE ICC 2012 offers the travel grants to the students who registered and co-authored an accepted paper in ICC 2012 , on competition basis. Each award ranges $500 to $1,000 subject to the travel reimbursement. Conditions for receiving an award are as follows.
  1. The applicant must be a member of the IEEE ComSoc.
  2. The applicant student must be a co-author of an accepted paper in IEEE ICC 2012  (main program or workshop).
  3. The applicant student must be full-time students registered toward a Bachelors, Masters, or Ph.D. degree in computer science, engineering or related field in a college or university when submitting their applications, and must not receive funding for attending the conference from other sources.
During the expense reimbursement stage, the student must show the proof of having registered to attend the IEEE ICC 2012 conference.

IEEE ICC 2012  features about 25  student travel grant awards in the range of $500-1000. (A portion of the fund is only applicable to US-university based students, others are applicable to worldwide students).  A student who is awarded a student travel grant must attend the conference in person. The student must register, attend, and present the paper (if the student is a co-author) at the conference.  Payment will only be made to the student as long as the award recipient submits the expense report (with receipts) within 45 days after the conference. More details will be provided to the students who are selected to receive the STG award.

How to apply
  1. The application should be submitted electronically via EDAS. After logging into EDAS, click the “Travel Grant” tab at your EDAS home page, and then select “Student Travel Grant for IEEE ICC 2012. The application must include the following materials
  2. A reference letter from your advisor (your advisor can directly submit the reference letter on EDAS).
  3. Your up-to-date resume including your citizenship (required), and ethnicity and gender (optional, used to broaden the participation of under-represented students).
  4. A half-to-one page letter to state the purpose of attending the conference.

Acceptance notification: May 1, 2012
